Sales Support Specialist

Are you ready for a new challenge? As M&O’s new Sales Support Specialist, you can play a key role in ensuring the operational, commercial, and financial success of M&O’s sales activities in Brazil. This role combines administrative, sales support, logistics, and financial oversight responsibilities. The Sales Support Specialist will serve as the backbone of the sales process, ensuring compliance, accuracy, and timely execution of contracts, client requests, and supplier processes across multiple systems and portals.

 

Here are the key responsibilities:

Administrative & Compliance 

  • Manage registrations, supplier orders, and documentation in client and vendor portals.
  • Prioritize complex processes that involve multiple steps such as importation, freight, finance, and delivery coordination.
  • Maintain compliance with client requirements and update contracts and documentation for supplier representation.
  • Ensure accuracy and consistency of data during and after system migrations. 
  • Control access to systems and maintain updated opportunities in the CRM. 

 

Sales Support & Back-Office 

  • Manage sales activities in portals, including quotations, follow-up with clients, and contract documentation.
  • Support the Sales Director and Sales Managers with key accounts. 
  • Handle end-to-end sales cycle for assigned products and services, including quotations, importation, resale, tax calculations, and financial support.
  • Oversee back-office operations, including tax calculations, packing lists, payment follow-up, and financial coordination.

 

Logistics & Import/Export 

  • Manage import/export processes for products and services. 
  • Identify and negotiate with alternative suppliers to reduce dependency and optimize costs.
  • Maintain vendor relationships to ensure reliable and cost-efficient supply chain solutions.

 

Financial Management 

  • Control financial aspects of sales processes, including billing, contract administration, and supplier financial flows.
  • Verify commission calculations and prevent discrepancies. 
  • Advise Sales Managers on import/export costs to ensure competitive and client aligned pricing strategies.

 

Critical Success Factors 

  • Strong organizational skills to manage multiple processes across portals and systems.
  • Ability to work with attention to detail, ensuring compliance and financial accuracy.
  • Effective collaboration with Sales Director and Sales Managers, ensuring alignment on processes and priorities.
  • Proactive in optimizing logistics and financial flows to improve efficiency and reduce costs.
  • Comfortable with back-office operations while also providing commercial support.

 

What we are looking for:

  • Bachelor’s degree in Business Administration, International Trade, Finance, or related field.
  • 5+ years of experience in commercial operations, preferably in Oil & Gas, industrial, or related sectors.
  • Strong knowledge of import/export processes, financial controls, and compliance requirements.
  • Experience with client/vendor portals is a strong advantage. 
  • Advanced proficiency in Excel and CRM systems. 
  • Analytical mindset with ability to design and document processes. 
  • Excellent communication in Portuguese; good proficiency in English.
